Reporting to the Plant Facility Manager, the Office Manager is responsible for the plant business functions, procurement, contract administration, human resources, accounting, Information Technology, short and long-range forecasts, budgeting and variance analysis, and Sarbanes-Oxley compliance. The Office Manager works closely with the Facility Manager, staff and the corporate office to ensure the overall success of plant operations and activities. The successful candidate will provide leadership and direction to plant in areas such as safety, planning, cost and efficiency.

Job Responsibilities

  • The Office Manager will be a key point of contact for the leadership team based in the HQ office and will work with them daily to ensure they continue to receive high levels of support from the Executive Assistants and that their expectations regarding business travel and events management are being met.
  • Manage company meeting calendar and catering for company meetings and calls as well as other in-office meals.
  • Maintain office services by organizing office operations and procedures.
  • Manage procurement of all office supplies of stationery, supplies, equipment and furniture.
  • Work with building management to resolve any onsite issues
  • Assist Executive Assistants with management of administrative tasks inclusive of coordinating meetings
  • Maintain organization of common areas – specifically kitchen and break rooms.
  • Manage incoming mail, packages and shipping.
  • Plan and execute internal events
  • Ad-hoc and project work as expected in a growing dynamic company
  • Assist HR with orient of new employees and assist them in settling in
  • Front desk reception duties when necessary

Required Skills / Knowledge

  • Strong IT skills, particularly the Microsoft Office suite is essential.
  • Strong oral and written communication skills are essential.
  • Strong attention to detail is essential.
  • Capable of adapting personal style and tone at all levels within the Company is essential.
  • Exceptional planning and organisational skills are essential.
  • High levels of self-awareness and personal integrity are essential.
  • Good negotiation skills
  • The ability to prioritise workload along with top organisation skills and multi-tasking skills, and a meticulous attention to detail
  • Excellent written English skills


  • Experience of managing executive assistant activity within a corporate company is essential.
  • Proven experience of managing executive support teams and motivating them towards shared goals relating to optimal professionalism and customer service standards.
  • Experience of partnering with and presenting to senior management/directors is essential
  • Power plant experience desired.

Education Requirements

  • This position requires a Bachelor's degree in Business, Finance, or related experience.

Physical Requirements

  • Ability to sit and work on a computer for long periods of time.
  • Ability to do walking, reaching, climbing, and stooping and lifting (up to 30 pounds).
  • Ability to travel as required, although infrequent.
